Among other things, we are responsible for the organization of rural areas, an accessible region, and regional economic policy. We create policies for this. We manage and maintain cultural heritage and monument care and provide grants and exemptions. For this, we process personal data.
GDPR
To guarantee your right to privacy we do our utmost to manage your personal data carefully and confidentially. Of course, we stick to the General Data Protection Regulation (GDPR). This privacy statement applies to all personal data we process for our services.
Processing of Personal Data
It is possible that we may process your personal data for the execution of our legal and public tasks, as described above. We also use a tool to monitor policy topics on social media. This may involve processing your personal data, such as your account name.
If you submit an application or complaint, make a report, use a service or product, sign up for a newsletter or event, initiate a dispute or exercise a legal remedy, visit, or contact the province of Zuid-Holland, we process your personal data to provide you with the best possible service. This includes your contact information, such as your phone number and email address.
We process your data only in accordance with this privacy statement, in a proper and careful manner, and solely for clearly defined and necessary purposes. We process and use only the personal data necessary for our services to you.
Our website may contain links to third-party websites. We are not responsible for these third parties' compliance with privacy laws and regulations.
Additionally, we process your personal data for our internal operations and security when you visit us. For example, we secure the provincial office with camera surveillance and maintain a visitor log.
Your Rights
When we process your personal data, we inform you of the purpose. In addition to this right to information, you have other legal rights. Under certain conditions, you have the right to access your personal data, the right to rectification, the right to data erasure, the right to restrict processing, and the right to object. Additionally, you have the right to file a complaint with Autoriteit Persoonsgegevens (Dutch Data Protection Authority).

To prevent abuse, we may ask you to identify yourself. How to safely provide us with a copy of your ID you can read at: identiteitsfraude/vraag en antwoord (identity fraud/FAQ’s).
Excessive requests for information may be denied. For example, if you contact us with information requests more frequently than is average and necessary. You can only submit a request for your own data.
We will respond substantively to your request within one month. Sometimes it is not possible to respond to your request on time. In that case, we will inform you within one month why this is not possible.

Who has access your personal data?
Only employees who require access to perform their duties have access to (a part of) the system in which your data is stored. Granting these authorizations follows fixed procedures under the responsibility of the manager of the department that processes your data.
How long do we retain your personal data?
The province does not retain your personal data longer than necessary for the proper execution of its tasks and to comply with legal obligations. The duration for which we retain certain data depends on the nature of the data and the purpose for which it was processed.
Sharing your data with third parties
We only share your data with other organizations with your consent or if necessary to comply with a legal obligation, a court ruling, or the execution of a task of public interest. We may also provide your data to organizations if they need it to perform a task on our behalf. In that case, we enter into an agreement with those organizations to ensure the same level of security and confidentiality of your data. As the province of Zuid-Holland, we remain responsible for these processing activities of your personal data.
Processing your personal data in countries outside of the European Union
The province does not transfer your data to a company or establishment in a country outside the European Economic Area (EEA) unless adequate security and privacy measures have been taken.
Children
The province does not intend to collect data about website visitors who are under 16 years of age unless they have permission from a parent or guardian. However, our website cannot verify whether a visitor is over 16 years old. Therefore, we recommend that parents be involved in their children's online activities to prevent the collection of their personal data without consent.
No profiling
By profiling, we mean the automated processing of personal data, for example, to evaluate and predict behaviour. The province does not allow personal data to be processed through an automated process without any human intervention.
How we ensure that your data are well-secured?
In addition to technical security measures such as encrypting personal data and access controls on computer systems, employees are bound by confidentiality obligations, and access to personal data is only granted to authorized personnel. When determining the measures, the current state of technology is always taken into account, and security is adjusted accordingly. Oversight of the processing and its security lies with the Data Protection Officer.
Reporting (data security) incidents and data breaches
The province takes the protection of your data seriously and implements appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure, and unauthorized alteration.
If it unexpectedly turns out that, despite the precautions taken, something has gone wrong with the protection of your personal data, or if we suspect so, we will report this to the Data Protection Authority. If the breach of your personal data may have unfavourable or adverse consequences for you, we will inform you of this as soon as possible. The province has an internal procedure for handling such incidents.
Have you had access to personal data that was not intended for you? Or did you, for example, receive documents with personal data that were not intended for you? Then report this via the (Contactcentrum).
Also, report (suspected) security leaks. Describe your suspicion as fully as possible. This way, we can address your report as quickly as possible. You can add screenshots or other evidence.
